Application Settings
Status behaviors classify what a task statusmeans(its lifecycle position). The five built-in behaviors are wired into the app's logic — e.g. Completed/Cancelledcount as "closed" (freeze assignees, resolve blockers),Proposedshows the accept/reject controls,Activedrives Calendar defaults, andBackloghides by default. You can rename and reorder these labels here. Each project's task statuses each pick one behavior in the project's Settings tab.
Adding a new behavior creates alabel only. It will not drive any built-in task logic (closed/done, proposed accept-reject, Calendar defaults, etc.) — a status using it behaves likeActive — until that logic is added in the application code. Update the application's behavior logic as necessary.

Project lifecycle statuses used by the Status field and the projects filter. Each has a name and color. Deleting a status that still has projects lets you move those projects to another status first.

Department mailboxes for task notifications. A department can watch tasks and be @-mentioned in notes; its notification emails go to the address below. Departments cannot be a task's assignee or collaborator — those are people, and nothing maps a person to the departments they belong to.

Project categories group the project types. The Project Type dropdown on each template and project's Settings tab is grouped by category, following the category order and the type order shown here — drag either handle to rearrange, or drag a type onto another category to move it. There is no separate Category field on the Settings tab: a project's category is whichever one its type belongs to. Deleting a type that is still in use lets you leave those projects as they are or move them to another type.

Task tags are free text typed onto a task, so this list is not what makes a tag exist — it is where you steer them. Rename one everywhere it is used, merge two together, delete one, or create one before anybody has used it. Give a tag a color and it shows as a stripe across the top of that task's card on every board, list and calendar — tags left without a color show nothing there. Rename, merge and delete run across every task in the database and every project template, not only what this browser has loaded.

Deal stages mirror your HubSpot pipeline (from Quoted onward). The Deal Stage field on a project is chosen from this list, and a HubSpot sync maps the deal's stage to a matching entry here — prompting you to pick or add one when it doesn't line up. Editing here is global.

Project roles are global: every template and project can fill each role, and a role added here appears everywhere (unfilled until assigned). A task can be assigned to a role instead of a person; its assignee resolves to whoever fills that role in the project, rolling up to the Project Lead until the role is filled. (These are distinct from the assignee/collaborator/watcher relationships elsewhere.)
